Eligibility

All members of the teaching, administrative, secretarial, and paraprofessional, including current and past grant recipients are eligible to apply for a grant from the UEF.  Past grant recipients must have submitted the Final Report Form in order to be eligible for another grant.  Community members who wish to collaborate with school professionals on an educational project are encouraged to do so.

Type of projects to be funded

UEF has four grant categories:

1)     Helen Ryan cultural award – for music, the arts, and athletics.

2)     Signature projects – long range or large projects

3)     Professional enrichment – for staff and teacher enrichment

4)     Curriculum enrichment – innovative curriculum enrichment, such as technology.

Funds are available only for projects that supplement, not supplant, the usual educational activities that are supported by the Uxbridge Public School System.  Funds are also not available for capital equipment, student field trips, transportation, salaries, or stipends.  Please indicate which of the four grant categories your grant falls in in the space provided on the application.

Size and duration of awards

There are two maximum award amounts, both lasting for one year.  The Mini-grant is for $500 and the Maxi-grant is for $1000.  However, applicants may reapply for continued funding using the Grant Extension Form.  Please note that a project may be approved and funded at an amount lower than requested in the applicant’s proposed budget.

Funding cycle

The UEF operates on an annual cycle, similar to the school’s fiscal cycle, beginning July 1st and ending June 30th.  For example, if an application is approved on May 1st, funds become available July 1st, and the project – and attendant paperwork – must be completed by September 1st of the following fiscal year.

Schedule of payment

Invoices are to be submitted to the UEF, which will write checks to the appropriate vendor.  Please use the Purchase Order Form.

Required reports

The Project Director will be responsible for the timely submission of a Final Report to the UEF Grant Review Committee upon completion of the project.  The final report should describe and evaluate the outcomes of the activities undertaken and give an account of all expenditures made in connection with the project.  All grant recipients will be invited to present their projects’ results at the UEF annual meeting.

Agreement

By accepting funding, grant recipients agree to acknowledge the support of the UEF in all presentations or printed materials concerning the project and to inform the Foundation of any changes in the implementation or focus of the project.

The recipients must alert UEF if they cannot undertake or accomplish the program for which funding was approved (please note: grantees may not use UEF funds for any program other than the program described in the grant application).  Changes to the approved program must be submitted to the Grant Review Committee for review and approval.

Procedures for submitting a proposal

Please submit 3 copies of the grant proposal, including a completed cover sheet, the project description, and an itemized budget to:

Deadline

The deadline for applications is April 1st of each year.  Amendments to the filed grant can be made before July 1st of the year you are applying by using the Grant Amendment Form.

Notification

Applicants will be notified of the UEF Grant Review Committee’s decision by June 10th.  Correspondence will be sent to the Project Director at the address indicated on the cover sheet of the application.
